Photo and signature upload requirements explained.

A form may list width, height, maximum KB size, accepted formats, and background color. Treat those as separate requirements. A photo can be exactly 300x300 pixels and still fail if it is PNG when the portal accepts only JPG, or if it is 130 KB when the limit is 100 KB.

Write down the rule before editing. Then crop, resize, choose background, select format, and compress in that order.

Cropping fixes framing. Resizing changes pixel dimensions. If you resize a rectangular photo directly into a square, faces can stretch. If you resize a signature with large blank margins, the ink becomes tiny inside the final image.

For photos, crop around the face and shoulders according to the form's rule. For signatures, crop close enough to remove unused paper while leaving a small clean margin around the ink.

JPG and JPEG are usually safest for camera photos and most official upload portals. PNG is useful for graphics, screenshots, transparent images, and sharp text, but it can be larger for real photos. WebP can be small, but some older portals still reject it.

If the form lists accepted formats, follow that list even when another format produces a smaller file.

A signature may look clear when zoomed in but weak at 140x60 pixels. A face photo may look fine on a large phone screen but show compression blocks after export. Preview the final image and check the details the reviewer will care about.

For signatures, look for broken strokes, missing dots, cropped initials, and gray backgrounds. For photos, check face detail, background, and whether the subject is centered.
